Environmental hygiene projects can involve internal procedures, facility information and operational records. This page explains how to begin a conversation without disclosing more than is needed.
1. Keep the initial enquiry high-level
Please describe the facility type, general issue and project objective. Do not include confidential, personal, medical or other sensitive information in an initial email.
2. Agree on a channel before sharing files
If more detailed records are relevant, we will first discuss the proposed scope, the minimum information needed and an appropriate way to exchange material. Public email should not be treated as a secure repository for sensitive project files.
3. Confidentiality is engagement-specific
An enquiry or introductory conversation does not automatically create a confidential or client relationship. Any confidentiality duties, permitted uses, recipients, safeguards or nondisclosure terms must be recorded in the applicable written agreement before sensitive information is shared. Where appropriate, DP Bio can consider a project-specific nondisclosure agreement; it is effective only when signed by authorized representatives.
4. Minimize personal information
Project material should be limited to what is reasonably necessary and, where practical, de-identified or redacted. Do not send patient or student records, protected health information, government identifiers, passwords, access credentials or unnecessary employee details.
5. Access and use
For an active engagement, access to project material and its permitted use should follow the written scope and any agreed confidentiality terms. The client remains responsible for having authority to share the information and for completing any required redaction or authorization before transfer.
6. Retention, return and deletion
Project-specific retention, return or deletion requirements should be stated in the written agreement. Some records may need to be retained for business, legal, security, dispute-resolution or backup purposes, subject to applicable obligations.
